Large-Scale Event Delivers a Memorable,
Nautical Evening to Hundreds of Delegates
Background: Southern Association of State Highway and Transportation Officials (SASHTO) represents the departments of transportation from Alabama, Arkansas, Florida, Georgia, Kentucky, Louisiana, Mississippi, North Carolina, Puerto Rico, South Carolina, Tennessee, Texas, Virginia and West Virginia. The Association was organized to encourage a balanced transportation system across the southern United States. SASHTO was holding their 2017 annual meeting in Norfolk. They estimated over 700 delegates in attendance.Opportunity: SASHTO would kick-off their four-day meeting with a celebratory evening reception at Half Moone Celebration Center. They wanted a local DMC to execute this program, end to end, and contacted us to submit a proposal.
Result: SASHTO maximized their guests’ experience using their allocated budget for food, drink, entertainment and décor. Understanding the organization’s goals for the event, we designed, planned and executed all aspects of their opening reception for 700 attendees. Our creative inspiration came from the theme “A Nod to Nautical,” representing the role of the sea in Norfolk’s history, both past and present. The SASHTO logo colors of blue and yellow were carried throughout the event.
We led management of all vendors, including the venue and catering. Guests dined on heavy hors d’oeuvres and stations that showcased our local cuisine, such as sweet potato biscuits with country ham, peanut crusted chicken, crab cakes and fresh seafood. They enjoyed a selection of local beer and wine and a unique, signature cocktail called the “SASHTO Splash”. Guests were entertained by a high-energy, live show band and an appearance from a “Mermaid,” symbolizing the host city of Norfolk. Rentals, themed décor, florals and staffing were all provided. The welcome event was well-received by guests who particularly enjoyed the Southern hospitality and the upbeat music, drinks and décor. It was an elegant and entertaining evening to welcome SASHTO delegates to Coastal Virginia. This event exhibited our keen attention to details, resourcefulness and flawless execution of an event, from vision to reality.
